How do I approve a Delivery booking?
Approving a Delivery Booking should be done using the three steps below, assuring that these steps are followed the delivery should then be displayed on the Delivery Log report after completion.
Initially the booking will be in a Pending state unless the you are using the Auto Accept function (disabled by default). Select the booking you wish to approve and head to the bottom of the bookings page. From here you can set the status of the delivery and also add notes if required. When accepting the Deliveries please follow the Status flow below:
Approved/Scheduled --> Arrived on Site --> Completed
Once a Delivery has been approved the Sub contractor will receive a confirmation via email of the booking.
Why are past/completed bookings not being displayed on the Delivery Log report?
Past bookings will not be displaying on the system as the Status process above would have not been followed. To ensure that the Delivery Log report is accurate please follow the steps above to ensure that each delivery is logged correctly and statues are changed accordingly.
How can I set up Sub Contractors with access to Delivery Management?
Giving a subcontractor access to the Delivery Management is fairly straight forward. If you navigate to the "Contractors" page on MSite and Select the Subcontractor you wish to give access to, if you are adding a new contractor to the system the process is the same. You will however be required to use the "Add New Contractor" option.
When you have the Sub Contractors' page opened you should see the options below, if you enable Delivery Management you should then get an option to Select the site you wish to give access for. If your user account only has access to the one site then it will display that all sites are selected. Once access has been given you may be required to Enter the subcontractors details (Email, First name Last name etc) if save once completed an email will be sent to the Subcontractor prompting them to set a password and log in if required.
How can I add Gates & Cranes to the system?
Gates and cranes can be added to the system but these requests would have to go through our support team as they are a change to the system which may cause issues if they are set up incorrectly.
If you do require Gates or Cranes to be added please use the orange support button the should be displayed in the bottom left of your MSite Instance. (image below)
Can multiple deliveries be approved for one time slot?
Yes, MSite can support up to 10 Deliveries per time slot (hour windows), this can be enabled upon request through our Support team.
Is there a way to Automate the system so its first come first serve for Delivery slots?
This is entirely possible as Delivery Management has a Auto Accept feature (disabled by default). If there is a Delivery slot available and the subcontractor requests that slow it will be automatically approved by the system. Site users are able to change the status of the booking if required, this feature can also be turned off upon request if issues are being caused.
